As our Sales & Marketing Assistant, you play a crucial role in supporting our commercial activities and ensuring smooth operations across sales and marketing. You will manage administrative processes with precision and structure while thinking proactively about how to improve our service to clients and internal teams. This hands-on role is ideal for someone who thrives in a dynamic and technical environment and takes ownership of their responsibilities.


We are looking for a detail-oriented and entrepreneurial individual who is eager to contribute to the success of our customers and the company as a whole. This role goes beyond just working behind the scenes: you will be a critical point of contact for customers and ensure they consistently receive the best service.

 

Tasks

  • Manage all customer and sales information in the CRM system
  • Prepare quotes with support from the Engineering team
  • Send and follow up on quotes in collaboration with the Sales team
  • Process orders in the ERP system and issue order confirmations after consulting with the Operations Planner
  • Collect and create content for newsletters, social media, and promotional materials in line with the company’s branding 
  • Maintain and update the company website and social media platforms 
  • Coordinate the logistics and practical arrangements for exhibitions and other marketing initiatives, occasionally participating in their execution 
  • Split between sales and marketing related tasks: initially approx. 90% sales vs. 10% marketing

Responsibilities

  • Manage the end-to-end sales administration process, including preparing and following up on quotes, processing orders, and maintaining accurate records in the CRM system
  • Act as a point of contact for customer inquiries, providing timely and customer-focused solutions
  • Coordinate with internal teams (engineering, operations, quality) to ensure a smooth onboarding process for (new) customers, including commercial, technical and regulatory topics
  • Proactively identify and implement process improvements to enhance customer satisfaction and internal efficiency
  • Assist in the planning and execution of marketing and communication activities to boost brand visibility and engagement

Your Profile

  • A bachelor’s degree or equivalent in business administration, marketing, communications, or a related field.
  • Experience in a sales support or administrative role, preferably in a technical or industrial environment, ideally in the supply chain of the healthcare industry.
  • Familiarity or interest in marketing tasks, including digital marketing and content creation, is a plus.
  • Excellent organizational and administrative skills, with keen attention to detail .
  • Impeccable communication skills, both verbal and written, in English; additional European languages (e.g. Dutch, French, or German) are a plus. Comfortable initiating customer conversations by phone.
  • Proficient in CRM and ERP systems, with strong Microsoft Office skills. Awareness of the latest online tools for marketing and communication is highly valued. Experience with Odoo is a plus.
  • Affinity for technical products and a willingness to learn about our industry-specific solutions. 
  • Customer-focused with a proactive and problem-solving attitude.
  • Precision-oriented and capable of managing multiple tasks and priorities effectively.
  • Located in Belgium, with a valid working permit for employment in Belgium.
